Notes from WDGA regarding duties

  • WDGA is your organization, please feel free to volunteer for any position

WDGA OFFICERS:

    PRESIDENT:

o   Presides Over all WDGA meetings

o   Sets time and location of meetings

o   Oversee organization operations

o   Secondary signature on WDGA checking account

o   Official contact person for WDGA business

    VICE PRESIDENT:

o   Second in command of WDGA operations

o   Duties and powers of President in case of absence

o   Responsible for WDGA banner

o   Oversee show operations (Fuzzy and WSF)

    SECRETARY:

o   Records all minutes of meetings

o   Sends such to Newsletter editor for publication

o   Responsible for all correspondence

    TREASURER:

o   Collects and receive all moneys due or belonging to WDGA

o   Reports twice yearly at spring and fall meeting

o   Submits yearly budget for membership approval

o   Provides cash box

o   Pays all bills

    MEMBERSHIP / NEWSLETTER EDITOR:

o   Publishes four newsletters a year

o   Distributes to WDGA membership

o   Responsible for current WDGA membership list

o   Maintains WDGA web-site

o   Publish show results, milk test results, showmanship results

 

COMMITTEES AND CHAIRPERSONS:

 

    SHOWMANSHIP (YOUTH) CHAIRMAN:

o   Responsible for showmanship contest at Fuzzy Show

o   Acts as ring steward for showmanship classes

o   Responsible to secure all trophies and prizes

o   Distributes prizes to youth – trophy chairman provides

o   Responsible for sign up sheet at check-in for showmanship classes

o   Returns show book to box following contest

o   Sends results to CDGA

o   Results published in WDGA newsletter

o   Post or announces class order

o   Records placing and gives awards

    SHOW RING CHAIRMAN:

o   Oversee preparations for beginning of shows

o   Show order posted outside ring

o   Show notebooks on show table

o   Official ADGA sign posted

o   Sanction papers and forms available for secretary at each show

o   Wipes and chair for judge

o   Microphone in working condition

o   Secretary supplies – pens, clipboards, etc.

o   Ribbons set out in show order on trophy table

o   Ring divided for buck shows and labeled

    CHECK IN CHAIRMAN:

o   Available for hours of check-in.  Friday evening and limited hours Sat. and Sun.

o   Collect money, check registrations of exhibitors, changes posted to call sheets

o   Review health certificates

o   Secure 3-4 individuals for help

    PENNING CHAIRMAN:

o   Secure number of pens each exhibitor requested from entry coordinator

o   Provide chart of pen assignments / or label pens

o   Supervise set-up and assigning of penning

    RAFFLE CHAIRMAN:

o   Responsible to acquire items for raffle at Fuzzy

o   Purchase or receive donations

o   Set-up and sell tickets

o   Hours open determined by chairman

o   Draw for winners – clean up

o   Sell t-shirts – responsible for ordering and inventory

    SHOW CHAIRMAN:

o  Specialty paperwork – initial application

o   Available during show for problems requiring decisions

o   Available at conclusion of each show to sign ADGA paperwork

o   Responsible for accuracy of paperwork

o   Receive sanction ribbons, official paperwork from ADGA

o   Deliver to show box prior to show

    CHIEF RING STEWARD:

o   Arrange for ring personnel throughout the shows

o   Fuzzy and WSF

o   Announcer, Secretaries (Fuzzy 6 WSF 2) ring stewards

o   Arrange for meals for workers and judge during shows

    ENTRY COORDINATOR:

o   Update entry forms and rules by Jan 1

o   Send copies and sanction papers and payment to ADGA

§  January – Fuzzy    May – WSF

o   Receive entry forms and forward money to treasurer

o   Generate call sheets – 2 copies

o   Update entry numbers for exhibitor’s inquiries

o   Notify exhibitors of sanctions

o   Keep tally of animals, showmanship, exhibitor meals, and pens

o   Forward to appropriate chairman

o   Prepared entry form book to check-in chairman

    MILK TEST CHAIRMAN:

o   Proper paperwork sent to ADGA – Meadowlark

o   Payment for Meadowlark for sponsoring test

o   Banner displayed, area identified

o   Supplies:  scale, dipper, tester box, clipboard, bucket, flashlight

o   Receive official paperwork from ADGA

o   Responsible to complete paperwork

o   Copy of all results to Meadowlark / WDGA

o   Tester box – Meadowlark responsibility

o   Official tester from Meadowlark

o   Oversee three milkings

o   Winners announced, ribbons and awards distributed

o   Order ribbons when necessary

o   Secure 2 helpers

    HAY/STRAW/GRAIN – SUPPLIES CHAIRMAN:

o   Locate and purchase supplies for Fuzzy Show

o   Post price – trailer and check-in table

    EXHIBITOR MEAL CHAIRMAN:

o   Arrange for Sat. evening exhibitors meal

o   Order food based on exhibitor numbers

o   Menu, paper products, serving time, location, set-up, clean-up

    JUDGES COMMITTEE:

o   Ask for members suggestions for judges

o   Respect individual members for or against judges

o   Call prospective judges in October

o   Have dates of shows, responsibilities, and times, handy to calling

o   Ask judging fee – note it on contract

o   Inquire of changes in address

o   Judge makes arrangements for airfare, rental car

o   WDGA arranges for lodging (Fuzzy-Cheyenne   WSF-Evansville)

o   Send and receive signed contract from judges

o   Following final verbal arrangements – publish with:

o   Catherine – WDGA newsletter and web-site

o   Pam – CDGA newsletter and web-site

o   Karen – treasurer for fee arrangements

o   Send letter of confirmation and information to judge

§  Fuzzy – 1st of May     WDF – Middle of July

o   Meet and greet judge at beginning of show or designate someone

o   Prepare introduction of judge to announcer

    TROPHY CHAIRMAN:

o   Arrange for trophies for Fuzzy and WSF

o   Trophies to consist of:

§  6 BIS, 2 BUIS, 9 Dairy Herds– Fuzzy Show

§  2 BIS, 1 BUIS, 9 Dairy Herds – WSF Show

o   List of Trophies for ring stewards

o   Keep within budget

o   WSF – Premium envelopes

    FACILITIES CHAIRMAN:

o   Contact CFD with dates for facility rent, sign contract and payment

o   Contact county road and bridge for manure removal

o   Arrange for PA system

o   Arrange for ROTC set-up and clean-up

o   Rental of clean-up equipment

o   Secure key for penning area (Fair Board)

o   Purchase insurance for show

o   Bleachers, restrooms, lights, parking, show ring

o   Responsible for clean-up, final inspection
